Pallet Collection Tips: How to Avoid Delays and Extra Charges

Booking a pallet collection should be simple. Choose your pallet size, pick your dates, add the details, and let the network do what it does best.

But, as with most things in transport, the small details matter.

Most pallet collections run smoothly, but delays can happen when goods are not ready, access is restricted, the wrong equipment has been booked, or the pallet is not suitable for collection. In other words, the driver turning up is only one part of the process. The real magic happens before they arrive.

To help your pallet collection go as smoothly as possible, we have pulled together the key things you need to know before collection day. Think of this as your pre-collection checklist, minus the clipboard and hi-vis jacket.


When do pallet collections happen?

Pallet collections take place Monday to Friday, excluding weekends and bank holidays. Collections usually happen between 9am and 5pm, so it is important to allow the full collection window when booking.

Unlike parcel couriers, pallet networks work slightly differently. Vehicles usually leave the depot in the morning full of deliveries, return with collections from the first run, then head back out for afternoon deliveries and collections.

This means many pallet collections happen later in the day, often between 3pm and 5pm. So, if your pallet has not been collected by lunchtime, it does not necessarily mean anything has gone wrong. It may simply be planned for the afternoon route.

The afternoon collection panic is very real. Usually unnecessary, but very real.

Another important thing to know is that pallets are not scanned at the point of collection. Your goods are marked as collected once they reach the depot and are scanned into the network. This means live tracking will not update instantly in the same way it might with a parcel.

If your collection does not happen, our system checks depot scan data the next working morning. If there is an issue, we will contact you with an update and arrange the next steps.


Can I book a same-day pallet collection?

Yes, same-day collection is available for up to 3 pallets when booked before 11:45am, Monday to Friday, excluding bank holidays.

This is designed for standard pallet deliveries that do not need any special handling. So, if you need a small vehicle, lift assist, or Pallet and Wrap service, these need to be booked before 4:45pm the previous working day.

Same-day slots are limited, and if vehicles are already full, your collection may move to the next working day. If you book close to the 11:45am cut-off, your collection will most likely be on the second run of the day, usually between 3pm and 5pm.

For larger bookings, the rules are slightly different. Bookings of 4 to 7 pallets usually need to be placed before 4:45pm the previous working day for next-day collection. If you are sending 8 pallets or more, this may be better suited to a truckload service, depending on vehicle availability and route planning.


Make sure your pallet is ready before the driver arrives

This might sound obvious, but it is one of the most common reasons collections run into problems.

Drivers have a 15-minute window to complete collections. That means your goods need to be ready, accessible and labelled before the vehicle arrives. The driver should not be waiting while the pallet is still being packed, wrapped, moved from the back of the warehouse, or discovered behind three parked cars.

Your pallet should be:

  • Clearly labelled
  • Properly wrapped or strapped
  • Safe and stable for transport
  • The correct size and weight for the service booked
  • Placed on solid, flat ground
  • Ready at the kerbside or roadside collection point
  • Accessible without the driver needing to enter a building or yard

Drivers cannot go inside buildings to collect goods, and pallet collections are made from the kerbside. The collection area must be clear, safe and suitable for the vehicle to stop.


Check whether you need a tail lift, pallet truck or forklift

Not every pallet can be moved in the same way, so choosing the right collection equipment is important.

If your pallet weighs up to 750kg and there is no forklift at the collection or delivery point, you should select a tail lift at checkout. When you book a tail lift service, a pallet truck is included to help the driver move the pallet safely on solid, level ground.

For pallets weighing between 751kg and 1,000kg, you will need to add lift assist at checkout. For anything over 1,000kg, a forklift is required at both the collection and delivery points.

Pallet trucks and tail lifts only work on hard, level surfaces such as tarmac or concrete. They cannot be used on gravel, grass, slopes or uneven ground. If the driver cannot safely move the pallet, the collection may fail.

Sadly, pallet trucks do not come with off-road mode.

Tell us about access restrictions before collection day

Our standard collection vehicle is an 18-tonne rigid truck. This is similar in size to a council bin lorry or supermarket delivery truck.

If that type of vehicle would struggle to reach your collection point, we need to know before collection day.

At checkout, make sure you tell us about anything that could affect access, including:

  • Narrow roads
  • Tight corners
  • Low bridges
  • Weight restrictions
  • Heavy parking
  • Site access codes
  • Restricted loading areas
  • Planned roadworks
  • Limited turning space
  • Specific directions the driver may need

If required, we may be able to arrange a smaller 7.5-tonne vehicle. However, these are in short supply and may delay your collection by one working day.

If the driver arrives and cannot safely access the collection point because we were not told about restrictions in advance, the collection may fail and a re-collection charge may apply.

Check your goods are suitable for pallet delivery

Pallet networks are designed to move suitable freight safely and efficiently. However, there are some goods that cannot travel through the network.

Restricted items include:

  • Personal belongings and household moves
  • Glass and fragile items that are easily breakable
  • Cash, vouchers, jewellery, precious metals and stones
  • Weapons, firearms or anything offensive or illegal
  • Engines containing fluids
  • Perishable goods, fresh food or live animals
  • Hazardous items such as fire extinguishers, explosives or chemicals

If your pallet contains restricted goods, the driver may refuse collection. This is usually for safety, compliance or insurance reasons.

Drivers may also refuse collection if the pallet is unsafe, improperly packed, overweight, oversized, not clearly labelled, inaccessible, or unsuitable for the network.

If your goods are too large for the pallet size you booked, the collection may need to be rebooked, and extra pallet spaces may be charged. Goods larger than a full oversized pallet may need a specialist carrier instead.

If it leaks, wobbles, overhangs, or looks like it belongs in a museum, it’s worth checking first.

If you do not have a pallet or shrink wrap ready, our Pallet and Wrap service may be a useful option.

With Pallet and Wrap, loose goods are collected, palletised and securely wrapped for transport. This service is available for up to 3 single pallets per booking and must be booked by 4:45pm the previous working day.

It is not available for Amazon deliveries or same-day collections.

There are a few important things to know before booking Pallet and Wrap:

  • Each item must weigh no more than 25kg
  • Someone must be available to help move and load the goods
  • The service is available Monday to Friday, excluding public holidays
  • It costs £20 + VAT per booking
  • The driver is there to assist with palletising and wrapping, not to complete the whole job alone

Pallet and Wrap is a helpful service, but it is not a magic wand with shrink wrap attached. Your goods still need to be suitable, accessible and ready for the driver to handle safely.


What happens if your collection fails?

Over 99% of collections happen on the booked day, but no pallet network can guarantee every collection every time. Traffic, route delays, vehicle issues, network peaks and access problems can occasionally affect collection.

If a collection is missed because the depot ran out of time, there is no additional charge. Our system checks scan data the next working morning, and if your pallet has not been collected, we will automatically rebook the collection for the next working day and email you with an update.

If you booked a two-day delivery, we will upgrade it to next day where possible to help keep things on track.

However, if the collection fails because the goods were not ready, no one was available, the collection point refused to release the goods, access was blocked, or restrictions were not mentioned when booking, a wasted journey or re-collection charge may apply.


How to avoid re-collection charges

When a collection is booked, space is reserved on a vehicle. If the driver arrives but cannot collect for avoidable reasons, the depot still incurs the cost of that vehicle space and driver time.

Common reasons for re-collection charges include:

  • Goods not being ready when the driver arrives
  • The collection point refusing to release the goods
  • No contact being available onsite or by phone within 15 minutes
  • Access restrictions not being mentioned when booking
  • The pallet being unsuitable, unsafe or incorrectly booked

For UK and Ireland collections, re-collection of up to 7 pallets costs £20 + VAT. For more than 7 pallets or a full truckload, charges may be significantly higher because a larger vehicle or dedicated collection slot may already have been arranged.

The easiest way to avoid re-collection charges is simple: make sure everything is ready, suitable and accessible before the driver arrives.
